CAUTION: Be aware of fraudulent individuals and companies that claim to offer registration for FENS Forum and hotel accommodation in Vienna through fraudulent websites and/or by contacting you directly via email. These fraudulent agencies will look like the official organisers but are not. The only official agency handling registration and accommodation for the FENS Forum is K.I.T. Group GmbH, located in Berlin, Germany.  Registration to the Forum and accommodation is only possible via the Forum website, either on the registration page or on the hotel page. Any formal correspondence from the FENS Forum will be sent from email addresses ending in @fens.org or @kit-group.org.

Vienna International Airport (VIE) offers flights to 192 different routes. There are a lot of European destinations. The most popular and frequent ones are Frankfurt, London, Amsterdam, Berlin and Zürich. The airport is well-connected to the city of Wien. You will be at the Messe Wien in about 40 minutes.

We advise that you allow at least 2 hours before a short-haul flight and 3 hours before a long-haul flight. Please click here to view more information about the airport.

Take the City Airport Train (CAT) from Vienna International Airport to Wien Mitte station and then take the U4 subway line from Wien Mitte to Schottenring station. You can change to the U2 subway line to Messe-Prater station there. Participants of the FENS Forum 2024 get a 20% discount on the CAT tickets when buying their tickets online. Please visit the CAT website and use the discount code FENS2024 when booking your ticket.

Another option is to take the S-Bahn (suburban train) from the airport to the Praterstern station, transfer to the U2 subway line, and get off at the Messe-Prater station.

The Vienna International Airport is 20 minutes away by taxi. The airport bus also takes you to Messe Wien in 30 minutes.

The official mobile App of FENS Forum 2024 is available for all FENS Forum 2024 participants. It is designed to help you plan and coordinate your personal timetable. App users can browse through the FENS Forum 2024 Programme, locate the session and meeting rooms and the exhibitors’ stands using the venue map, consult the ePosters, ask the speakers questions during the session, etc.

 

A login and password are required to access the App. The login is the email you used to register for the FENS Forum 2024, and the password is your participant number found on the registration confirmation and on your badge. As FENS is dedicated to minimising the environmental impact of the Forum, a fully printed programme will not be distributed. We therefore recommend familiarising yourself with the App before coming onsite.

The FENS Forum 2024 App is also available free of charge on the Google Play Store for Android and the Apple Store for iOS.

There is an ATM in the Messe Wien Congress Center, in the Axon Alley, level 0. Otherwise, you will find another one next to the U-Bahn (subway) station Krieau.

Most banks are open from Monday through Friday, between 9:00 and 17:00. Please note that some banks close at 15:00. Foreign currency may be exchanged for euros at banks, post offices and exchange offices. Bring your passport when exchanging money, as you will need it for the transaction.

All participants invited to a business or industry meeting must be registered to the FENS Forum 2024. Entrance to the FENS Forum without being registered is prohibited.

Participants will be able to download their certificate of attendance to the FENS Forum 2024 after having filled an online survey, which will be sent to them via email post-Forum. It is not possible to issue the certificate of attendance onsite.

Charging stations are located in the Exhibition area.

The Forum aims to support families and parents attending the FENS Forum 2024. A childcare service will be available during the Forum for the participants who booked it in advance. The Childcare is located on the ground floor of the Messe Wien at the end of the main corridor (Axon Alley) and will be open from Tuesday, 25th June to Friday, 28th June, from 8:00 to 16:00 and on Saturday, 29th June, from 8:00 to 14:00. Please note that the childcare is fully booked for the whole duration of the FENS Forum 2024. No onsite registration will be accepted.

No children except those registered for the childcare are allowed in the Messe Wien during the FENS Forum 2024.

Babies can accompany their mothers. A nursing room is available in room Galerie 9, which is located on the first floor. Should you wish to warm up or store your baby’s meal, a fridge and a microwave are available at the childcare (level 0).

The average maximum temperature in Vienna in June is 21.1°C (70.0°F), and the minimum temperature is 15.4°C (56°F). The nights can be a little cool, so it is best to bring appropriate clothing.

The cloakroom will be at the -1 level of the Messe Wien and is free of charge. FENS Organisers are not liable for any goods checked into the cloakroom. Money, valuables or other accessories (such as mobile telephones or keys) (hereinafter “valuables”) are not accepted for safekeeping.

The Euro (€) is the official currency of Austria. Because most places you visit do not accept credit or debit cards, you will need to take some cash with you.

Participants are advised to wear business casual for all Forum functions and programmes.

Austria uses the 230 Volt/50 Hz system and two-pin continental plugs – the same as most other European countries. Electric appliances use continental-style two-pin plugs.

If you are visiting from the UK, Ireland, Israel, Australia, or Switzerland, you need to bring a plug adaptor. C and F-type plugs generally fit on Austrian electricity sockets.

The USA, Canada and a large part of South America have different 110-127 Volt systems, which means many devices from there can only be connected using a transformer.

In order to report information regarding an incident, it is necessary to:

  • speak English (if possible)
  • give your name and surname
  • shortly describe the situation and indicate the location of the incident

Dial 112 for emergency services, 133 for the police, 141 for an emergency doctor and 144 for an ambulance service.

The FENS Forum 2024 Exhibition is in the Exhibition Area on level 0 of the Forum venue. The FENS booth is located at the entrance to the exhibition and poster hall.

The First Aid room in Messe Wien is on Level 0, next to the speaker lounge. Please contact a staff member to assist you or inform them about any incident requiring First Aid. You can also go to the FENS Forum 2024 registration counters if you need medical assistance, our team will guide you to the First Aid room.

All event activities are exclusively reserved for registered attendees. Non-registered guests are not allowed in any of the event areas. Badges provided at registration are required for entrance into all functions and will be strictly enforced.

In case you experienced or witnessed harassment or any other breach of the FENS Forum Code of Conduct, you are encouraged to report it in the following ways:

  • For immediate reporting onsite: contact any FENS staff at the FENS booth (all staff members have a red lanyard). The FENS booth is located at the entrance to the exhibition and poster hall. If the FENS booth is unattended or the exhibition is closed, go to the registration counter and ask for Jana or Andrea.
  • If you feel threatened: do not hesitate to approach a security person onsite. They are located at the main doors and circulate throughout the exhibition and poster hall with a yellow jacket.
  • For reporting online: fill in the online FENS Forum Incident Report Form or write toforum2024@fens.org
  • Reporting to the Police: In addition to reporting to conference organisers, individuals may report aggressions to the Police. The Austrian police can be reached by dialling the emergency number 133 or the European emergency number 112. Ask FENS staff or security personnel if you need assistance.

Any details that help identify the perpetrator and describe the incident will assist in addressing the situation.

Once a report has been submitted, FENS will pursue action in a way that maintains the anonymity of the concerned individual. If any enforcement action requires the breach of this anonymity, it will only be applied after informed consent is obtained from the concerned individual.

Event Details

The event venue is located in the 2nd district of Vienna, just a 10–15-minute walk from the FENS Forum venue, Messe Wien, and nestled in an open-air amusement park! Please note that no bus shuttle will be organised.

The official language of the FENS Forum 2024 is English. No simultaneous translation will be provided.

Individuals requiring an official Letter of Invitation can request one from the Forum Registration Team at fensforum_registration@kit-group.org. To receive a Letter of Invitation, participants must first register for the Forum and submit payment in full.

The Letter of Invitation does not financially obligate either the organiser or the host in any way. All expenses incurred in relation to the Forum are the sole responsibility of the participant.

The FENS Forum Secretariat and Organisers cannot accept liability for personal accidents, loss of or damage to private property of participants, either during or indirectly arising from the FENS Forum 2024. It is recommended that all participants are covered by personal travel and health insurance for their trip.

Please do not leave bags or suitcases unattended at any time, whether inside or outside the session halls. Hotels strongly recommend that you use their safety deposit boxes for your valuables.

The Lost and Found point will be at the cloakroom on level -1.

Food and beverages are not included in the registration fee. Food outlets will be available throughout the venue, offering healthy and sustainable options. Drinking water dispensers will be available inside the venue. Vienna’s tap water flows from the mountain springs in the Styrian/Lower Austrian Alps, reaching the Austrian capital city 36 hours later in drinking water quality, without pumps and under the strictest regulations. We recommend bringing a reusable water bottle with you. You can buy a FENS Forum 2024 reusable water bottle upon availability at the registration counter.

70% of the food served during the FENS Forum 2024 is sourced locally, within a 160km radius or less, saving heartily on the event’s scopes 2 and 3 carbon emissions as suppliers travel shorter distances and refrigerate the food for less time than they would have if they were further afield. No red meat is served, with the bulk of the meat on offer being white meat with a far lower carbon footprint than beef and vegetarian and vegan options are served daily. The coffee served is fair trade, and all the teas and juices are biological. Reusable cups will be available in all the catering outlets with a deposit of EUR 2, and 90% of single-use plastic like polystyrene and PVC is eliminated, dramatically reducing pressure on landfills and the event’s overall emissions.

Mindfulness sessions will be organised in the Open Theatre on Wednesday, Thursday and Friday, please look at the Open Theater schedule (on the Forum App) for the exact session times

The official Forum name badge must be worn at all times during the Forum. Access to the Forum facilities will not be granted without a proper, valid name badge. If a participant loses, misplaces or forgets the name badge, a handling fee of 50 EUR will be charged for a new name badge. The lost badge will become invalid upon handing out a new name badge.

Situated in a prominent location within the Exhibition, the Open Theatre is open to the highlights of the FENS Forum.  The programme includes sessions such as open discussion, meet the experts sessions, product demos and even mindfulness and brain wellness sessions.  Look at the Forum App for the full schedule.

All registered delegates are invited to join the International Brain Bee Award Ceremony at 16:45-17:00 and the FENS Forum 2024 Opening Ceremony at 16:45 – 18:00 on Tuesday, 25 June, in Hall A.

You can find the poster sessions on the Online programme and in the FENS Forum 2024 App. In the “Session Types” part, you can tick “Poster Sessions” and “Poster Sessions with Authors in Attendance” only.

Poster presenters will be allocated a poster board in the poster hall for a half day within the Forum, please ensure you place your poster in accordance with the Poster Mounting and dismantling schedule listed below. The Messe Wien is located close to Messe – Prater Metro station. The station is serviced by Metro line U2, which runs very frequently.

Visa regulations depend on your nationality and country of origin. We suggest you contact your local Austrian Consulate for official instructions on the specific visa regulations and application procedures that may apply to you. It is recommended that you apply for a visa at least 4-5 months prior to the start of the Forum. It is the responsibility of the participant to obtain a visa if required.

It is the participant’s sole responsibility to take care of his / her applicable visa requirements. Any participant requiring an entry visa must allow sufficient time for the application process. Participants should contact the nearest embassy or Consulate to determine the appropriate timing of their visa applications. It is recommended that you apply for a visa at least 4 months in advance of the Forum. When the registration has already been paid, the registration fee minus a handling fee of 50 EUR will be refunded after the Forum (no later than 90 days after the Forum) if the visa was applied for in time, and proof of this, together with an official notice from the embassy confirming that a visa could not be granted, is forwarded to the organiser at fensforum_registration@kit-group.org.

Free WIFI will be available in the public spaces at the Forum venue. Please be aware that public WIFI capacity is always limited and therefore restricted to email and web browsing activity.
